EU General Data Protection Regulation

The new European General Data Protection Regulation, which came into force in 2019, requires that officials who receive and process our members’ data are appropriately instructed and committed to maintaining confidentiality and complying with data protection.

The following officials/groups receive this data to carry out their activities within the club:

  1. Board
  2. RT leaders and their deputies
  3. Club Webmaster
  4. RT Internet Officers
  5. Data Protection Officers
  6. Corporate Design
  7. Bank transfers
  8. Club Shop

Here you will find the declaration of commitment and instructions for handling member data (for all officials) as well as the new access request for editing the event database (only for RT Internet Officers):

Please read the declaration of commitment and access request carefully, sign them, and send them to the President by post or email (scan). The access request for the Cloud must be confirmed by the Club President and will then be forwarded to Club Support; from there, the RT Internet Officers will receive the access data for the event database (which is located on the MB server).

Various inquiries regarding data protection have reached us from officials in recent weeks. These mainly concern the handling of personal data, lists, WhatsApp groups, etc., within the Regional Meetings.

Please note the following:

  1. This declaration of commitment is limited exclusively to processes and tasks within the scope of your voluntary activity as described (function) in the club.
  2. Personal data provided to members within the RT on lists, whether manually or in electronic form, are not part of this declaration of commitment.
    1. All lists, WhatsApp groups, email distribution lists, or other data collections created, managed, processed, or distributed within the Regional Meetings are beyond the knowledge, monitoring, or control of the national club.
  3. The Regional Meetings, primarily the creators, managers, processors, or distributors of such lists, act on their own responsibility and without being commissioned by the national club. Accordingly, the national club assumes no responsibility or liability regarding the creation, management, processing, and distribution of these lists or data collections.
  4. We recommend explaining the purpose, use, management, distribution, and dissemination in writing to all recorded persons (members, partners, guests, etc.) and obtaining written confirmation of consent from each named person for the creation, management, processing, and administration of this data via signature.

In the course of implementing the EU GDPR, data protection declarations were added to all club and RT pages, and all addresses were switched to “https” with SSL certificates (recognizable by the green lock before https). Critical plugins were replaced or removed. When accessing a page for the first time, the cookie information must be confirmed.
